This website and the services described on it are operated by Sceemo Limited ("Sceemo", "we", "us"), a company registered in England and Wales with company number 10428625. Our registered office is International House, 55 Longsmith Street, Gloucester, GL1 2HT, United Kingdom.
We are the data controller for personal information collected through this website and through our own sales, support and marketing communications. You can contact us at [email protected].
Where we provide services to a business client, we also process information belonging to that client's own customers. In that case we act as a data processor on the client's behalf, under our agreement with them, and the client's own privacy policy applies to their customers.
2. Information we collect
Information you give us. Your name, business name, email address, phone number, business address, and anything else you tell us through a form on this website, a phone call, an email or a text message.
Booking information. Details of appointments you schedule with us.
Payment information. Billing details for paying clients. Card details are processed directly by our payment provider and are never stored on our systems.
Call and message records. Where you call a number operated by us or by our AI receptionist service, we may record or transcribe the call and keep a record of the conversation. We also keep records of text messages sent and received.
Technical information. Your IP address, browser type, device information, pages visited and similar usage data, collected through cookies and analytics tools.
3. How we use your information
We use your information to:
respond to enquiries and book calls with you
provide, operate and support our services
answer, qualify and route telephone calls where we provide an AI receptionist service
send appointment reminders, service notifications and account messages
send marketing communications, where you have agreed to receive them
take payment and keep accounting records
improve our website, our services and the quality of our AI systems
comply with our legal and regulatory obligations
4. Our legal basis for processing
Under UK data protection law we rely on the following lawful bases:
Performance of a contract — to provide and support our services to clients.
Legitimate interests — to respond to business enquiries, operate and improve our business, and keep records, where those interests are not overridden by your rights and freedoms.
Consent — for marketing communications, including marketing text messages, and for non-essential cookies. You can withdraw consent at any time.
Legal obligation — where the law requires us to retain records or disclose information.
5. Text messaging (SMS)
If you give us your mobile number and consent to receive text messages, we may send you messages relating to your enquiry, your appointments, your account, and — only where you have separately opted in — occasional marketing messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of information sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of purchasing any service.
You can opt out at any time by replying STOP to any message. Reply HELP for assistance, or contact us at [email protected].
6. Who we share information with
We share information only with service providers who process it on our behalf, under contract, and only so far as they need it to perform their role. These include:
GoHighLevel (HighLevel Inc.) — customer relationship management, website, calendar, telephony and messaging platform
Twilio — telecommunications and message delivery
Google — email, calendar and analytics
Stripe — payment processing
Zoom / Google Meet — video calls
We do not sell, rent or trade your personal information.
We may also disclose information where we are required to do so by law, to establish or defend legal claims, to prevent fraud, or as part of a sale or reorganisation of our business. If our business is sold, personal information may be transferred to the buyer, who will remain bound by this policy.
7. International transfers
Several of our service providers are based in the United States. Where we transfer personal information outside the United Kingdom, we rely on appropriate safeguards, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Agreement, together with any additional measures required to protect your information.
8. How long we keep information
We keep enquiry and prospect information for up to 24 months after our last contact with you. Client records are kept for the duration of the relationship and for six years afterwards, to meet legal and tax requirements. Call recordings and transcripts are kept for up to 12 months unless we need them for longer to resolve a dispute. Records of marketing consent and opt-outs are kept for as long as needed to honour your preferences.
After these periods, information is deleted or anonymised.
9. Your rights
Under UK data protection law you have the right to:
ask for a copy of the personal information we hold about you
ask us to correct information that is inaccurate or incomplete
ask us to delete your information in certain circumstances
ask us to restrict how we use your information, or object to our use of it
ask us to transfer your information to another provider
withdraw consent at any time, where we rely on consent
To exercise any of these rights, email [email protected]. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
If you are a resident of the United States, you may also contact us to ask what information we hold about you, to request its deletion, or to opt out of marketing communications, and we will handle your request in line with this policy and any applicable state law.
10. Cookies
We use essential cookies to make this website work, and optional analytics cookies to understand how it is used. You can control cookies through your browser settings and through our cookie banner where one is shown.
11. Security
We use reasonable technical and organisational measures to protect personal information, including access controls, encrypted connections and restricting access to those who need it. No system can be completely secure, but we take the protection of your information seriously.
12. Changes to this policy
We may update this policy from time to time. The current version will always be published on this page, with the date it was last updated shown at the top. If we make a significant change, we will take reasonable steps to notify clients directly.
